Job Description:
The Office Manager oversees the day-to-day administrative and operational functions of Mountain States Legal Foundation (MSLF). This role ensures smooth internal operations, effective office systems, reliable technology support, and strong coordination across staff, vendors, and leadership. Working closely with the Chief Operating Officer (COO), the Office Manager serves as a central hub for organizational logistics, compliance tracking, and infrastructure support.
Responsibilities
Office & Administrative Operations
- Manage daily office operations to ensure a professional, efficient, and well-organized work environment.
- Maintain internal workflows, documentation, calendars, and shared systems.
- Serve as the primary point of contact for general office inquiries and internal coordination.
- Support staff with administrative needs and operational problem-solving.
Gift Processing & Development Operations
- Process all incoming gifts, including mailed donations, online contributions, stock transfers, and other gifts.
- Maintain accurate donor records and documentation in coordination with Development and Accounting.
- Reconcile donation activity and assist with routine reporting as needed.
State Charitable Registrations
- Manage all state charitable solicitation registrations and renewals.
- Track filing deadlines, maintain compliance records, and ensure documentation is accurate and up to date.
- Coordinate with external vendors or legal counsel for multi-state registration requirements, as needed.
Board & Governance Support
- Support Board of Directors and Litigation Advisory Council meetings by assisting with scheduling, materials, logistics, and meeting minutes.
- Maintain and update the Board portal/website, ensuring documents, agendas, and resources are current and accessible.
- Assist with governance-related communications and internal follow-up.
Technology & Vendor Coordination
- Serve as the primary liaison with IT and technology vendors (including SourcePass).
- Track hardware and software inventory, licenses, renewals, warranties, and replacements.
- Coordinate onboarding/offboarding of technology access in collaboration with leadership or external vendors.
- Assist with evaluating tools or services that improve office efficiency and reliability.
Vendor & Facilities Management
- Manage relationships with office-related vendors (equipment, services, supplies, maintenance).
- Coordinate office supplies, equipment needs, and workspace functionality.
- Support office moves, reconfigurations, or facilities-related projects as needed.
Other Operational Support
- Assist the COO and senior staff with operational projects, documentation, and cross-departmental initiatives.
- Contribute to the continuous improvement of office systems, workflows, and organizational efficiency.
- Perform other duties as assigned to support the mission and internal operations of MSLF.
Qualifications
- Working knowledge of MS Office, CRM experience preferred
- CO notary or the ability to become one.
- Great communication skills
- Team player and self-starter
- General technology troubleshooting skills
- Associate’s degree or 3 years of experience
